Projector Rentals : What to Consider

Projector rentals make sense for business presentations, home theatre & gaming as well as many other areas to enhance the viewing experience.  Renting a projector for shorter time periods makes more financial sense as opposed to purchasing, which risks sitting idle for long periods of time as well as obsolescence.  With projector rentals you pay for usage and not ownership.  Projector rentals in a corporate environment can help enhance presentations.  With the large viewing area, PowerPoint, graphs, videos and other presentation type content, projectors simplify the process of getting the information from the presenter to the audience.

ITX carries different types of projectors depending on the venue, content and audience.  Business projectors for projector rentals are generally high-quality projectors designed for meetings, presentations and conferences.  They generally have a high standard of brightness (lumens) and high resolution.  Short throw projector rentals are for smaller spaces and are usually placed close to a screen or wall.  These are designed for smaller audiences, for example a small classroom setting.

Outdoor Projectors are for use in larger, open spaces, usually they are outfitted with a high brightness which will offset ambient outdoor light.

Home Theatre projectors are projectors with high definitions that are designed for a darker setting, and generally have excellent contract and color accuracy

When renting a projector there are a few factors to consider.  First, is the brightness of the projector.  For well-lit venues, i.e. offices, classrooms etc., you will want to consider a projector with higher lumens.  We recommend 3000 lumens or above.  If you plan on using the projector in an area with less light, such as a home theatre, then 1500-3000 lumens should suffice.

Resolution of the projector is also an important factor.  When presenting high-definition video, you will want to opt for a 4K or 1080p projector whereas if you are presenting text, i.e. PDF’s, PowerPoint you should be able to utilize and XGA (1024-768) resolution projector.

Equally important is the throw distance of the projector.  Short throw projectors are for smaller spaces where the projector is placed a short distance from the screen.  This would be ideal for a classroom or business setting.  Long throw projectors are better suited for outdoor events and larger venues such as an auditorium.

When choosing a projector, you also must consider the connectivity option.  What type of device will the projector be connected to.  For example, there are laptops which are the most common but also gaming consoles and smart phones.  Typical connections include Wi-Fi, Bluetooth, VGA and HDMI.  Communicating with the rental company to see which cables are or are not included with the projector is critical.

Another factor to consider with projector rentals is the sound quality or lack of sound quality the projector will produce.  Some projectors will have built-in speakers, but in some cases, it’s better to opt with external speakers, again ensure that the connection type is available.

Lamp Life is also an important feature to look at closely.  If you plan on renting for a longer period of time, its best to go with an LED projector.  They use laser light sources and usually require less maintenance than lamp-based projectors.

Rental duration and manufacture of the projector are also important.  For shorter time periods or one day events, generally you can use a major OEM projector without much research.  For longer periods you should request who the manufacturer is and what model.  This way you can do ample research on the projector, what types venue, lighten etc. that it will best perform.

Finally, what type of service the rental company can provide.  For smaller venues, generally the end user can set up. For larger venues in which there might be 50-100 attendees or more it’s advantageous to have the rental company assist with the set up and any testing or at the very least a phone call or email away during the installation.  Always look at the reputation of the rental company.
